1. About this policy
This policy explains how the Ridgeway County Sheriff’s Office (RCSO) Roblox roleplay community handles information through rwrcso.com and its member services. RCSO is a fictional roleplay organization, not a real government or law enforcement agency.
This policy covers the RCSO portal, including Special Response Team and Special Response Academy services. Services linked from this website have their own privacy practices.
2. Information we handle
- Member identity: your verified Roblox user ID and username, your website role, and profile creation date. A display name is held in the authentication session. Legacy accounts may retain their previous sign-in identifier, email, and training history; new Roblox registrations do not request an email address.
- Training records: knowledge-check answers, scores, attempt dates, and the member identity associated with an attempt.
- Evaluation records: operator and evaluator details, ratings, comments, findings, dates, follow-up actions, acknowledgements, record history, and any supporting documents uploaded by authorized staff.
- Department announcements: published post text, author name, and publication and update dates are public. Drafts and archived posts are restricted to website administration.
- Administration: role assignments and the identity and timestamps associated with staff actions and catalog changes.
- Technical information: hosting, security, and authentication providers may process IP addresses, request details, timestamps, browser information, and authentication cookies to deliver and protect their services.
Only submit information relevant to community membership, training, or administration. Do not upload passwords, government identity documents, financial information, medical information, or unrelated real-world personal details.
3. Roblox sign-in
The portal uses Roblox’s official authorization process with the openid and profile permissions. Roblox verifies your account and supplies your user ID and public profile information. RCSO does not request your Roblox email, password, authentication code, or Roblox security cookie.
The authentication service checks Roblox’s signed identity token and public profile, then creates a secure RCSO session lasting up to eight hours. Roblox access and refresh tokens are not stored in the member database. Website roles are assigned separately by website administration; signing in does not change your Roblox group rank.
4. How information is used
We use member information to identify accounts, provide access to personal records, record training attempts, administer evaluations, assign website permissions, maintain records, resolve support requests, and protect the portal against misuse.
Website permissions are managed separately from Roblox group roles. Authentication alone does not grant instructor, command, or SRT membership permissions.
We do not sell member information or use member records for advertising.
5. Who can see information
Public visitors can browse department resources and the approved equipment catalog. Within signed-in member tools, usernames and website roles may be visible to other signed-in members. Private email addresses are not displayed in member profiles or member lists.
Operators can access evaluations assigned to them. Authorized instructors and command staff can access evaluation and training records as needed for their website duties. Only the website owner assigns website roles and division permissions. Only the website owner can access the separate website administration tools, account suspension controls, and privacy-request records. Supporting documents are subject to the access controls of their associated evaluation.
Hosting, storage, security, and authentication providers process information needed to operate the website. The current infrastructure includes OpenAI Sites and Cloudflare. Roblox processes account authorization information when you connect. We may also disclose information when required by applicable law or when reasonably necessary to address abuse or protect users and services.
Following a Discord, Google Drive, Roblox, or other external link takes you to that provider. Its privacy policy and access settings apply there.
6. Cookies and security
The RCSO authentication service uses a secure, HttpOnly transaction cookie for up to ten minutes and an RCSO session cookie for up to eight hours. The session cookie is shared with rwrcso.com so the portal can verify your identity. Signing out clears the RCSO session in that browser. Hosting providers may also use cookies for service security. Blocking these mechanisms may prevent member features from working. The portal’s application code does not include advertising trackers.
We use server-side access checks to restrict member records. No internet service can guarantee absolute security. Protect your sign-in account and report suspected unauthorized access to RCSO website administration through the department Discord.
7. Retention and requests
Member and training records are retained while needed to administer the community, maintain training and evaluation history, investigate misuse, or meet applicable obligations. Removing an evaluation or catalog item may archive it rather than permanently erase it. When the owner removes a member, the active account, personal evaluations and attachments, quiz attempts, role assignments, suspension record, and privacy-request records are deleted. Shared records about other members may be retained with the removed account’s author identity redacted. A hashed sign-in identifier is retained to prevent immediate re-registration, along with an administrative event that does not identify the removed member. Details in shared documents, previously downloaded copies, and technical or backup copies may require separate review; provider copies are subject to the provider’s retention practices. Website administration also keeps privacy-request details, ownership-verification status, access suspension notes, and an activity log to track administrative decisions.
You may request access to, correction of, or deletion of information associated with your account by contacting RCSO website administration through the department Discord. We may need to verify account ownership before acting. Some information may need to be retained for legitimate administrative, security, or legal purposes; we will explain any applicable limitation when responding.
Do not post private information in public Discord channels. Ask website administration for a private way to make your request.
8. Younger users
Signed-in member services are intended for users aged 13 and older who meet their authentication provider’s eligibility requirements. Do not submit personal information through member services if you are under 13. If you believe information about a child under 13 has been submitted, contact website administration so it can be reviewed and addressed.
9. Contact and updates
For privacy questions or account information requests, contact RCSO website administration through the RCSO Discord. This is the community’s support route, not an emergency service.
Changes to this policy will appear on this page with an updated date. Material changes affecting account information will be communicated through the website or department channels.
